This is a first-draft starting point, not legal advice. It was prepared to get Easy P4P to a reasonable baseline quickly and has not been reviewed by a lawyer. Because this Service processes employee personal data (names, pay rates, hours worked), have a licensed attorney review this policy — including whether any state-specific notices (e.g., CCPA/CPRA) or employee-data handling requirements apply to your customer base — before relying on it commercially.

1. Overview

This Privacy Policy explains how Easy P4P ("Easy P4P," "we," "us," or "our") collects, uses, and protects information in connection with the Easy P4P application (the "Service"). It applies to two kinds of people: (a) the business customers who sign up and administer the Service ("Customers"), and (b) the employees whose job, time, and pay data a Customer enters or imports into the Service ("Workers"). If you are a Worker with questions about your data, please contact your employer — the Customer that administers your company's account — as they control that data; see Section 6.

2. Information We Collect

Account information: name, email address, and password (or Google sign-in identifier) for each person who registers for the Service, and the company name and billing details for each Customer.

Workforce/payroll data entered or imported by a Customer: employee names, hourly rates or salaries, hours worked, job/completion records, crew assignments, bonus and callback data, and payroll calculation results. This data is entered directly by the Customer's admins or imported automatically from a third-party CRM/field-service tool the Customer connects (e.g., via a webhook the Customer configures).

Billing information: subscription plan, billing status, and payment-related identifiers. Card numbers and full payment details are collected and stored by our payment processor, Stripe, directly — we do not store full card numbers ourselves.

Usage and technical data: log data, device/browser information, and usage analytics generated by interacting with the Service.

3. How We Use Information

We use the information described above to: provide, operate, and maintain the Service (including running the P4P/payroll calculations Customers configure); process subscription billing through Stripe; authenticate accounts and secure the Service; respond to support requests; and improve and troubleshoot the Service. We do not sell Worker or Customer personal information.

4. Multi-Tenant Data Isolation

Easy P4P is a multi-tenant application: each Customer's company data is logically separated at the database level so that one Customer's admins and employees cannot access another Customer's data. Platform operators (Easy P4P's own staff) may access Customer data as reasonably necessary to provide support, investigate issues, or enforce these terms.

5. Sharing of Information

We share information with:

Service providers who help us operate the Service, such as our application hosting platform (Base44) and payment processor (Stripe), under obligations to protect the data and use it only to provide their service to us.

Legal/safety reasons, if required by law, subpoena, or other legal process, or to protect the rights, property, or safety of Easy P4P, our customers, or others.

Business transfers, in connection with a merger, acquisition, or sale of assets, subject to standard confidentiality protections.

We do not sell personal information to third parties for their own marketing purposes.

6. Worker Data — Who Controls It

For Workforce/payroll data, the Customer (your employer, if you are a Worker) is the data controller and decides what data is entered into the Service and how it is used for pay calculations. Easy P4P acts as a data processor on the Customer's behalf. If you are a Worker and want to access, correct, or delete your data, please contact your employer directly; we will support their request as needed.

7. Data Retention

We retain account and workforce/payroll data for as long as a Customer's account is active, and for a reasonable period after cancellation to allow for data export and as required for legitimate business, tax, or legal purposes. Customers may request deletion of their company's data by contacting support.

8. Security

We use reasonable administrative, technical, and organizational measures designed to protect information from unauthorized access, use, or disclosure, including role-based access rules and per-company data isolation. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

9. Your Choices and Rights

Depending on where you live, you may have rights to access, correct, or delete personal information we hold, or to object to certain processing. Customers can exercise most of these rights directly within the Service for their own account and company data; Workers should start with their employer as described in Section 6. 10. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will provide reasonable notice (for example, by email or an in-app notice) before they take effect.
